Your new business is finally underway and everything is going exactly according to plan. That’s terrific, but now is not the time to become complacent. Unless you conduct the proper steps for organizing your new business, all of your hard work – the new business you have created and all the success you have enjoyed up to this point – could soon come crashing down. To keep confusion to a minimum and to overcome obstacles far more easily, you need a little organization. The following will help you master the art of business organization when starting a new business.
The Decision to Hire Help
Be forewarned that organizing your new business is a massive undertaking, and it’s likely to take up a good portion of your time. You, like all business owners, have the decision of hiring a business organization professional, or several professionals, such as an accountant, a personal assistant, and so on.
If you are up for the challenge and you want to handle the organization process all on your own, the first step when starting a business when business organization is the primary goal is to enlist the use of the proper software that will make the often complicated task of organizing your new business far easier.
Programs like Quicken will help you keep track of your finances, client/customer information, tax records and other pertinent information, but these types of software programs are not the end-all-be-all of business organization.
While paid software can be helpful, it is a blessing that we now have free software that can help you keep your efforts on-point when organizing your new business. Google Docs is one example. Google has made it so that you have at your fingertips a word processor, a spreadsheet program, a presentation program and forms that you can use on the management or customer side to further your business organization efforts when starting a business. Open Office offers similar programs and it is also free.
Just the Google Docs or Open Office spreadsheet program alone can be invaluable when organizing your new business. You can create several worksheets within the same workbook that allow for line-by-line recording of things like:
- Accounting & Bookkeeping Records
- Bank Records & Receipts
- Client/Customer & Contract Information
- Corporate Records & Shareholder Info
- Employee & Tax Records
- Stock Information, Permits, Licenses & More
This is just some of the data that will have to be organized if you hope for your business to weather any obstacles that may come your way. If you are ever sued, you had better have the proper records in order because the judge won’t wait for you to compile lost or mismanaged records when your court date arrives. If you are ever audited by the IRS, you had better have the proper cash flow paperwork and receipts to show where your money is going and coming from.
Organizing your new business isn’t just used to avoid lawsuits and feds in dark suits, it’s also meant to help you grow your business over time. A business owner that keeps the proper records can see how that business is growing. He or she can even use the data to enhance the business. Communications from customers and clients that are retained, for example, can be used to make improvements to the business that will appease even the most hard-nosed customers.
The lesson as the business owner is to conserve all of the data that you come across on a daily basis. Even if it seems arbitrary, make a place for it and make that place easy to locate when it matters most. Data is one of those things that you want to keep a large amount of so that you can go through it whenever you want to. Yet you had better come up with a system that allows you to locate what you want when you want it if you hope to use your business organization data successfully.
Whether using paid or free software, the use of any program will help you keep tabs on the most useful information that can make starting a business a bit easier for someone who is just getting used to this lifestyle. Don’t worry, organizing your business doesn’t have to be a huge headache, as long as you take it a little bit at a time. A name and address here, a tax ID number there and the URL to your latest landing page is all it takes and, before you know it, you will have enough data to overcome any obstacle and to outshine your competition in the race to become number one in your industry.
